NetSuite File Cabinet: How to Easily Attach and Save Files to Records

Have you been looking for a fast and simple solution to upload and attach files to records and easily organize them in your NetSuite File Cabinet? Whether you’d like to attach and save customer agreements to a customer master record or scanned vendor bills to a vendor bill transaction record, we recommend using the NetSuite File Drag and Drop bundle.
Here are the steps for you to install and configure the NetSuite File Drag and Drop bundle solution.
Step 1: Install the NetSuite File Drag and Drop Bundle
Navigate to Customization > SuiteBundler > Search and Install Bundles
In the keyword text box, type the bundle ID: 41309
Click the Search button
Click on the name of the bundle: “File Drag and Drop”
This will open the Bundle Details screen
Review the bundle details, then click the ‘Install’ button
Step 2: Configure the NetSuite File Drag and Drop Bundle
Navigate to Setup > Customization > File Drag and Drop Setup
Set Preferences.
Check mark the box ‘Enable File Drag and Drop’
Optional preferences:
Enter a File Cabinet folder name in the ‘Global Destination Folder’ if you want all attached files to go to one folder for all record types.
Enter an email address in the ‘Error Message Recipient’ box for someone, other than Administrators, to receive error messages related to the bundle.
Step 3: Set Record Types
Click the ‘New File Drag and Drop Record Type’ button
In the Record Type drop-down box, choose the record type where you want to enable File Drag and Drop
In the ‘Folder Name’ box, set a Folder Name to specify where uploaded files are saved for this record type.
Alternatively, you can also set a folder pattern to point to the destination folder.
To use a Folder Pattern for File Drag and Drop, check the ‘Use Folder Pattern’ box to create unique folders based on a specified Folder Pattern to save uploaded files there. For example, \FinanceFolder\Subsidiary{subsidiaryId} or \Dept{departmentId}\
Note: The following folder patterns are currently available:
subsidiaryId – Saves files to a folder with the ID of the current user’s subsidiary.
departmentId – Saves files to a folder with the ID of the current user’s department.
roleId – Saves files to a folder with the ID of the current user’s role.
recordId – Saves files to a folder with the ID of the record where the file is attached.
Click ‘Save’ or ‘Save and Next’ if you want to configure additional record types.
When you are done setting up all record types, click ‘Save and Next’ to move to the Summary.
Step 4: Verify the Summary
Review your Preferences and Enabled Record Types
Finally, click the ‘Finish’ button.
Step 5: Upload Files to the NetSuite File Cabinet with Drag and Drop Functionality
After you have completed the File Drag and Drop installation and configuration, you can now navigate to one of the record-types configured and utilize the File Drag and Drop functionality by dragging and dropping a file into the box on that record (see vendor bill example circled in red below):
When you drag and drop a file onto the record, the file will automatically be saved into the NetSuite File Cabinet based on the Folder preferences, and you will also see the file located under the Communications sub-tab on the record.
